How do you handle payroll, tax withholding, and filings across multiple states (or municipalities) when our properties and employees are in different locations?

AnswerBecause a family office often supports properties and employees in multiple locations, it’s critical that your payroll provider can manage multi-state tax withholding, unemployment insurance, disability insurance, local wage ordinances, and filings (e.g. state income tax, state unemployment, city/municipal requirements). Your payroll service must also stay updated with changes in each jurisdiction’s tax, wage, and labor laws, and ideally provide human resources and insurance support to help ensure compliance.

How is confidential data (personal, financial, HR) protected? What security and privacy measures are in place?

AnswerHousehold employment data includes very sensitive information about the family, payroll, benefits, and even personal employee information. Ensure your payroll provider has robust encryption (in transit and at rest), strong role-based access controls, audit logs, regular security reviews, data segregation between different family clients, and compliance with relevant privacy laws. Your vendor should also have disaster recovery and business continuity plans in place.

How flexible is the service in handling non-standard compensation structures, benefits, or unique employee arrangements (e.g. part-time, live-in staff, perks, in-kind benefits)?

Answer – Families often have complex work arrangements as some staff may live in, some may receive housing, vehicles, expense reimbursements, bonuses, or noncash perks. Your payroll provider must be able to accommodate such irregular benefit types, pro rata computations, tax treatment of in-kind benefits, fringe benefit reporting, retroactive adjustments, and custom pay policies.

You will also pay FUTA (federal unemployment tax), which is six percent of wages up to $7,000 in earnings as well as state unemployment taxes, which vary by state. Your employee is not responsible for unemployment taxes.
